1.1 Information You Provide

Account Information: Name, email address, phone number, password, company name
Project Data: Project names, descriptions, timelines, budgets, contacts, tasks, milestones, and other project-related information
Communications: Email messages and SMS text messages sent to and from Archie, including attachments and metadata
Documents: Files, drawings, specifications, and other documents you upload or email to Archie
Payment Information: Billing details processed through Stripe (we do not store credit card numbers)

1.2 Information Collected Automatically

Usage Data: Pages visited, features used, time spent, click patterns
Device Information: IP address, browser type, operating system, device identifiers
Cookies and Tracking: Session cookies, authentication tokens, and analytics data
Log Data: Timestamps, API requests, error logs, and system performance metrics

OAuth Providers: If you sign in with Google, we receive your email, name, and profile information
Payment Processors: Stripe provides payment status and subscription information

2.2 AI Model Training and Improvement

Important: We may use your User Content (emails, project data, documents) in an aggregated, anonymized, or de-identified format to improve and train our AI models and the Service generally. Personal information is removed before any data is used for training purposes.

Send transactional emails (receipts, notifications, alerts)

2.4 SMS Communications

SMS Opt-In: Subscribers may opt in to receive SMS text messages from Archie for project coordination — including project updates, contact information, task reminders, and AI-powered responses to your queries. By providing your phone number during signup or checkout, or by enabling SMS in your account settings, you consent to receive these messages.

Opt-Out: Text STOP at any time to opt out. You will receive a confirmation and no further messages will be sent.
Re-Subscribe: Text START to re-subscribe to SMS messages.
Help: Text HELP for support information.
Message Rates: Message and data rates may apply.
Message Frequency: Message frequency varies based on your project activity and queries.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

3. Data Storage and Security

3.1 Where We Store Data

Database: Supabase (PostgreSQL hosted in AWS US-East-1)
File Storage: Amazon S3 (US-East-1 region)
Email Infrastructure: Postmark (US-based email service)
Authentication: Supabase Auth (SOC 2 Type II certified)
AI Processing: OpenRouter/Google Gemini (processed in US data centers)

3.2 Security Measures

Encryption in transit (TLS/HTTPS) and at rest (AES-256)
Password hashing with bcrypt
Role-based access control (RBAC)
Database row-level security (RLS) policies
Regular security audits and monitoring
Secure API authentication with JWT tokens

No method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

4. Information Sharing and Disclosure

4.1 We Share Information With

Service Providers: AWS (storage), Supabase (database), Stripe (payments), Postmark (email), OpenRouter/Google (AI processing)
Project Collaborators: Other users you explicitly add to your projects (via email threads)
Legal Authorities: When required by law, subpoena, or court order

Sell your personal information to third parties
Share your data with advertisers or marketing companies
Use your data for purposes unrelated to providing the Service
Share identifiable project data with other Archie users

5. Data Retention

Account Data: Retained until you request deletion or account closure
Project Data: Retained indefinitely while account is active
Email Messages: Retained for the lifetime of related projects
Signed Agreements: Retained for 7 years after account closure (legal requirement)
Payment Records: Retained for 7 years (tax and audit requirements)
Analytics Data: Aggregated data retained indefinitely for service improvement

6. Your Rights and Choices

Access all your personal information stored in Archie
Export your project data in JSON format
Download copies of your documents and communications

6.2 Correction and Deletion

Update your account information at any time in your dashboard
Request deletion of your account and associated data (subject to legal retention requirements)
Correct inaccurate project information directly in the dashboard

6.3 Opt-Out Rights

SMS Messages: Text STOP to unsubscribe from Archie SMS messages at any time
Unsubscribe from marketing emails (we currently don't send marketing emails)
Disable cookies through your browser settings (may affect functionality)
